Preventative Maintenance

Preventative Maintenance Systems

A is at the core of any efficient and well run facility. It is no secret that the ability to manage maintenance on a schedule rather than a purely corrective basis will save time and money in the long run, as well as increase the lifespan of your assets. But, the truth is, many facilities have inadequate and, in many cases, ineffective preventive maintenance programs for their equipment. Preventive Maintenance Program Inefficiences in preventive maintenance programs can range from overscheduling maintenance in ratio to available labor hours or underscheduling equipment that requires check ups at a higher frequency, to failing to strategically schedule preventive maintenance based on factors such as location of equipment or skill set of the mechanics on duty. These issues can be avoided by properly executing a preventive maintenance program in your facility using these tips below:

  • Whether you are creating a brand new preventive maintenance program or just giving your current schedule a makeover, create a list of all your assets and organize by the equipment system under which they fall (i.e., HVAC Equipment, Plumbing Equipment etc). This wil help to organize the procedures based on the type of equipment being serviced.
  • Once your equipment is listed and organized, create a schedule for each PM. It is important to note that some assets may have multiple schedules. For example, a generator may have a weekly, monthly, and annual PM schedule with different line items.
  • Now that all your equipment schedules are laid out, you are probably realizing a staggaring imbalance between the amount of scheduled work and the available man hours to perform this work. This is a good time to review the recommended procedures and schedules for your equipment. For example, if you have assets that are currently signed up for a daily, weekly, monthly, quarterly, semi-annual, and annual PM schedule, you may be able to find procedures that overlap from schedule to schedule and "trim the fat" from the program to create a more acheivable scheduled preventive maintenance program.
  • Once you are comfortable with the amount of scheduled work both being received by the equipment and scheduled out to your staff, you can now streamline the process and tailor the schedules to your workflow. If you utilize crafts and skillsets for your employees, create automatic assignments of PMs based on crafts or shops in the facility. If PMs need to be organized by location, set up your schedule to generate in a way that accomodates your location structure.

Following these tips will certainly help keep your preventive maintenance program manageable and efficient. One thing that can help keep your scheduled maintenance organized is utilizing CMMS Software to create your preventive maintenance program.
